Running Refunds and Voids

Overview

There are two ways to run a void or a refund in Gravity Legal. The first is on the Clients home screen. The second is through the Payments home screen. 

 

Refunds and Voids from Clients Home

1. On the Clients tab, click on the name of the client associated with the transaction to return. 

2. Click Transactions in the top menu. This will display a list of all transactions associated with that particular client.

3. On the far righthand side of the screen, click either the blue Void or Send Refund button. A transaction will either have the option to void or refund based on when that transaction was run. For more details on these properties, see Refunds and Voids Overview

4. If partial refund is available, enter the amount you would like to refund to the client.  For more details on when partial refunds are available, see Refunds and Voids Overview

Note: If surcharging is enabled on your account, you may choose to refund the surcharge fee to the client. If the surcharge is part of the same transaction, the surcharge amount will display in the Refund Fee Amount box. If the surcharge was associated with a separate transaction, that transaction will need to be separately voided refunded.

5. Click Issue Refund, and the refund will be initiated. A receipt will be send to the address entered, and a notification will be sent to the firm address listed in Settings - Firm Details under Email Notifications. 

 

Refunds and Voids from Payments Home

1. On the Payments tab, click on the method used to collect the payment in the top menu. 

A) Payment Links: Click View/Edit on the payment link containing the transaction to return. The Refund or Void button is listed on the righthand side of the transaction table associated with that Payment Link.

B) Standing Links: Click View/Edit on the payment link containing the transaction to return. The Refund or Void button is listed on the righthand side of the transaction table associated with that Standing Link.

C) Stored Payment Method: Click View/Edit on the stored payment method containing the transaction to return. The Refund or Void button is listed on the righthand side of the transaction table associated with that Stored Payment Method.

D) Subscriptions: Click View/Edit on the subscription containing the transaction to return. The Refund or Void button is listed on the righthand side of the transaction table associated with that Subscription.

2. Once you have located the Refund or Void button, follow steps 4 and 5 listed above.
